Office Cleaning Services

The most common complaint that we get when meeting with potential clients is that their current cleaning company is not doing what they said they would do. Usually the company will start out doing a great job and fulfilling all the promises that were made, but after a while the clients notice that the quality of cleaning starts to decrease. Then they are left with taking the time to notify the Office cleaning company to let them know what task were left undone and request that the problem is addressed. To help prevent this from happening ServiceMaster has developed an inspection process we call P.A.CT.

P.A.C.T. Inspection Program

ServiceMaster Janitorial By Faith uses a proprietary inspection program called P.A.C.T. (Plan, Act, Communicate, Track). This program was developed in response to a ServiceMaster Clean Six Sigma initiative to improve our janitorial inspection process.

The P.A.C.T. program has dual purpose: 1) to ensure service delivery that meets and exceeds your expectations and, 2) to communicate the delivery process to each part of the team ensuring that each contributor is in the loop and is held accountable.

Plan

1.    Establish an inspection frequency. Determine with customer whether weekly or monthly, full or partial inspection is needed.

2.    Customer should identify how they would like results communicated back to them (electronic, hard copy, communication log, etc.)

Act & Communicate

1.    Start building inspections using the Cleaning Quality Indication (CQI) form.

2.    Communicate form and scoring system to customer.

3.    For issues found during inspections, complete the Immediate Concern Urgent (ICU) form. Route the ICU form(s) to supervisor for resolution and re-inspection. Communicate inspection results to customer.

4.    Reward employees for positive inspection results.

Track

1.    Examine incident reports and ICU form(s). Identify recurring issues and work to resolve underlying causes.

2.    Monitor inspection results, re-inspections and customer complaints and resolutions.

Small Offices 

Typically offices under 5,000 square feet require a weekly cleaning that is done between close of business on Friday and Monday morning. However, we are able to customize the cleaning schedule based on the needs of our customer. Currently we have several customers that fall into this category and they are businesses like:Doctors Offices, Professional Services Offices, Churches, Corporate offices, Small manufacturing offices.

Below you will find a typical “task schedule” that we use a base for small office buildings.

Office Cleaning Services: Small Offices

  • Emptying all trash receptacles
  • Removing the trash from the building
  • Vacuuming all carpets
  • Sweeping and mopping hard surface floors
  • Cleaning all restrooms
  • General dusting of horizontal surfaces
  • Cleaning entry glass (both front and back)

Medium Offices 

These offices are typically between 5,000 square feet to 15,000 square feet and cleaning can be done on a daily bases or a few days a week, again based on the needs of the customer. That is why it is so important to take the time to meet with your potential cleaning company and discuss the needs of your staff / facility. The last thing that customers want to do is pay for more services that they need. So we really like to take the time to figure out a cleaning schedule that works best for the business and then after a few months review and make any adjustments needed. These types of offices could be Daycares, Schools, Churches, Manufacturing, Professional Services or Corporate Offices.

The “task” schedule” for medium office building is the same as the small offices, but usually with a few additions. See below:

  • Re-stocking paper supplies & hand soaps

These lists are our starting point in developing the task schedule that best serves the customer. In addition, we also offer specialty cleaning services that we can schedule for you on an as needed bases or can set a yearly plan up front. This is usually very helpful in saving the customer time in scheduling these throughout the year and we can offer discounted pricing for being a current customer. This would include services such as:
